Text Message Policy

Johnson and Sons Associates:

It has come to my attention that some of our associates have been using a text message language to communicate in the workplace. As professionals we are obligated to communicate in a manor that reflects our company. This being said, we will be implementing some new policy that will take affect on Friday August 27th. The policy will be as follows:

“Text messaging and short-hand forms of communication will not be tolerated in emails or other forms of communication containing the company letterhead. Text messaging language will be acceptable only in communication between associates when using actual text messages. It is important to remember that when in doubt use an acceptable form of language. It is understood that some of the associates have email on their phone and in this case correct grammar should be used to communicate. There will be consequences for using a text messaging language in emails and these are outlined below.

While each incident will assessed on a case to case basis, you can expect a one week suspension of email account for a first offense, a two week email suspension for a second offense and a termination of email account for a third offense.”

Here are a few examples of unacceptable forms of messages and then a fix for the sentence.

He will b here 2morrow so plz b ready.
He will be here tomorrow so please be prepared.

The stns r n the bak of ur truck.
The stones are in the back of your truck.

I hope that these will help to clarify a few of the different kinds of messages that are being used and then a possible fix for each one. I understand that a small slip may occur in day-to-day operations and we will let these slide as long as they do not become habits.

I am confident that we can fix this minor problem and move forward. I understand that email is very useful in the everyday operations of our company and you help to fix the issue at hand will benefit us greatly. As I stated before it is important that we communicate in a professional manor to keep our business a great environment for everyone.
